INTERSTATE 365 Return Policy

At INTERSTATE 365, we aim to provide accurate information, dependable equipment, and fair customer service. This Return Policy explains when trailers, parts, accessories, and other products may be returned.

By purchasing or accepting delivery of a product from INTERSTATE 365, the customer agrees to this Return Policy and the applicable Terms and Conditions of Sale.

1. Returns of New, Unused Trailers

A new trailer may be eligible for return within 30 calendar days after delivery only when all conditions in this section are satisfied.

To qualify for a return, the trailer must:

  • Remain completely new and unused;

  • Remain in its original condition;

  • Show no signs of towing, road use, loading, unloading, commercial use, damage, modification, installation, or wear;

  • Include all original documents, manuals, keys, accessories, equipment, and components;

  • Have no title, registration, license plate, lien, or other ownership record issued in the customer’s name;

  • Receive prior written return authorization from INTERSTATE 365.

Approval of a return remains subject to inspection by INTERSTATE 365.

Transportation Requirements for Return Eligibility

A trailer is considered used and non-returnable immediately after it is connected, coupled, or hooked to a truck, tractor, towing vehicle, or fifth wheel for transportation.

This rule applies regardless of:

  • The distance traveled;

  • Whether the trailer was loaded or empty;

  • Whether it was driven on a public road, private road, parking lot, or customer facility;

  • Whether the trailer was towed by the customer, the customer’s driver, a carrier, or another third party;

  • Whether the trailer otherwise appears to remain in new condition.

A trailer picked up from an INTERSTATE 365 location by connecting it directly to a truck or tractor is considered used and is not eligible for return.

To remain eligible for return, the trailer must be transported from INTERSTATE 365 to the customer’s location entirely as cargo loaded on another trailer, transport vehicle, or suitable carrier. The purchased trailer must not travel on its own tires and must not be connected to a towing vehicle at any point during transportation.

Any approved return must also be transported back to INTERSTATE 365 as cargo loaded on another trailer or suitable transport vehicle. It may not be towed back on its own wheels.

Loading a trailer onto another transport vehicle does not automatically guarantee return approval. The trailer must continue to satisfy every other eligibility requirement in this Return Policy.

2. Return Authorization

Before returning any eligible item, the customer must contact INTERSTATE 365 to request a Return Merchandise Authorization, also referred to as an “RMA.”

The return request should include:

  • Customer name and company name;

  • Invoice or purchase order number;

  • Trailer VIN or product serial number;

  • Purchase and delivery dates;

  • Reason for the requested return;

  • Current photographs of the trailer or product;

  • Description of how the trailer was transported from INTERSTATE 365;

  • Any other information reasonably requested by INTERSTATE 365.

Submitting a return request does not guarantee approval.

Products returned without prior written authorization may be refused and returned to the customer at the customer’s expense.

Verbal authorization from a salesperson, driver, contractor, or other representative does not authorize a return. Return authorization must be issued in writing by an authorized INTERSTATE 365 representative.

3. Inspection of Returned Trailers

All returned trailers remain subject to inspection by INTERSTATE 365.

The inspection may include verification of:

  • VIN and identifying information;

  • Tire and wheel condition;

  • Brake condition;

  • Suspension and axle condition;

  • Deck, flooring, paint, and finish;

  • Electrical and lighting systems;

  • Kingpin, coupler, landing gear, and connection points;

  • Evidence of towing, loading, installation, road use, or commercial use;

  • Missing documents, accessories, or equipment;

  • Damage, wear, contamination, alteration, or repair;

  • Title, registration, lien, or ownership status.

INTERSTATE 365 may reject a return if inspection shows that the trailer has been used, towed, connected to a truck, damaged, modified, loaded, registered, titled, or otherwise fails to satisfy this Return Policy.

INTERSTATE 365 may also deduct the reasonable cost of cleaning, inspection, repairs, missing components, transportation, reconditioning, or loss in resale value from any approved refund.

4. Return Shipping and Transportation Costs

The customer is responsible for all costs associated with an approved return, including:

  • Transportation;

  • Loading and unloading;

  • Permits;

  • Insurance;

  • Inspections;

  • Storage;

  • Handling;

  • Documentation;

  • Other related expenses.

The trailer must be returned using a qualified carrier and appropriate transport equipment.

The customer bears the risk of loss or damage until the returned trailer is received and accepted by INTERSTATE 365.

INTERSTATE 365 recommends using an insured and trackable transportation service. INTERSTATE 365 is not responsible for damage, loss, delay, or additional charges arising during return transportation arranged by the customer.

Original delivery, shipping, preparation, inspection, documentation, installation, financing, and transportation charges are non-refundable unless INTERSTATE 365 agrees otherwise in writing.

5. Restocking Fee

Approved trailer returns are subject to a 15% restocking fee.

The restocking fee will be calculated using the trailer’s purchase price and deducted from the approved refund.

INTERSTATE 365 may also deduct:

  • Transportation costs paid by INTERSTATE 365;

  • Inspection and handling expenses;

  • Repair or reconditioning expenses;

  • Missing equipment or documentation;

  • Damage or loss in value;

  • Unpaid balances or other amounts owed by the customer.

The 15% restocking fee does not limit INTERSTATE 365’s right to deduct additional documented costs or losses associated with the return.

6. Used Trailers

All sales of used trailers are final.

Used trailers are sold in their existing condition and are not eligible for return, refund, or exchange unless a signed Sales Document expressly states otherwise.

Customers are encouraged to inspect used trailers personally or arrange an independent inspection before purchase.

Information about prior ownership, mileage, operating history, repairs, accidents, service records, tires, brakes, or remaining manufacturer warranty coverage may be based on information received from previous owners or third parties. INTERSTATE 365 does not guarantee the completeness of third-party information unless expressly stated in writing.

7. Custom, Factory-Ordered, and Special-Order Trailers

All sales of custom, factory-ordered, special-order, and customer-configured trailers are final.

These trailers are not eligible for return, refund, or exchange after the order has been submitted to the manufacturer or customer-specific work has begun.

This includes trailers manufactured, ordered, altered, equipped, painted, configured, or prepared according to customer-selected specifications.

Non-returnable customer-specific features may include:

  • Custom dimensions;

  • Special axle configurations;

  • Custom suspension;

  • Custom deck or flooring;

  • Special paint or finishes;

  • Tarp systems;

  • Toolboxes;

  • Winches and cargo-control equipment;

  • Hydraulic systems;

  • Custom lighting;

  • Custom tires or wheels;

  • Dealer-installed or manufacturer-installed accessories;

  • Other customer-requested equipment or modifications.

Order changes and cancellations remain subject to the applicable Terms and Conditions of Sale and signed Sales Documents.

8. Demonstrator, Consignment, Auction, and Trade-In Equipment

All sales of demonstrator, consignment, auction, and trade-in equipment are final.

These products are not eligible for return, refund, or exchange unless INTERSTATE 365 provides a separate written return right in the applicable Sales Document.

9. Non-Returnable Trailers and Products

The following trailers and products are non-returnable:

  • Any trailer connected, coupled, or hooked to a truck, tractor, towing vehicle, or fifth wheel;

  • Any trailer towed or transported on its own tires;

  • Any trailer picked up by towing it away from an INTERSTATE 365 location;

  • Any trailer that has been loaded or used to transport cargo or equipment;

  • Any trailer showing road wear, tire wear, brake wear, dirt, damage, or other evidence of use;

  • Any titled, registered, licensed, plated, financed, leased, or lien-encumbered trailer;

  • Any trailer modified, repaired, altered, painted, branded, wrapped, or equipped after purchase;

  • Used trailers;

  • Custom and factory-ordered trailers;

  • Demonstrator, consignment, auction, and trade-in equipment;

  • Special-order parts and accessories;

  • Installed parts and accessories;

  • Electrical parts;

  • Lubricants, fluids, chemicals, and consumable products;

  • Products damaged after delivery;

  • Products missing original documentation, packaging, accessories, or components;

  • Clearance, closeout, and final-sale products identified as non-returnable at purchase.

10. Parts and Accessories

Standard, unused parts and accessories may be eligible for return within 30 calendar days after delivery if INTERSTATE 365 issues prior written return authorization.

To qualify, a part or accessory must:

  • Be unused and uninstalled;

  • Remain in its original condition;

  • Include its original packaging;

  • Include all manuals, hardware, accessories, and documentation;

  • Show no damage, wear, contamination, or modification;

  • Remain suitable for resale as new.

Special-order, custom, installed, electrical, electronic, opened, programmed, modified, or discontinued parts are non-returnable.

Approved parts and accessory returns may be subject to a 15% restocking fee and deductions for shipping, inspection, missing components, damaged packaging, or reduction in resale value.

11. Damaged Equipment and Visible Delivery Issues

Customers must inspect trailers and other products at delivery or pickup.

Visible transportation damage, missing items, or incorrect products must be documented immediately.

When a carrier delivers the product, the customer must:

  • Note visible damage or shortages on the carrier’s delivery receipt before signing;

  • Take clear photographs;

  • Retain packaging and supporting documents;

  • Notify the carrier;

  • Contact INTERSTATE 365 immediately.

Signing a delivery receipt without noting visible damage may affect the customer’s ability to recover against the carrier.

Transportation damage does not automatically create a right to return the trailer. Available remedies may include a carrier claim, repair, replacement of an affected component, manufacturer warranty assistance, or another appropriate solution.

12. Defective Equipment and Manufacturer Warranties

New trailers, parts, and components may carry written limited warranties issued by their respective manufacturers.

A manufacturer warranty claim is not the same as a product return.

Manufacturing defects, component failures, material defects, and workmanship issues are handled according to the applicable manufacturer or component warranty.

Depending on the warranty terms, the available remedy may include:

  • Inspection;

  • Repair;

  • Replacement of a defective part;

  • Manufacturer-authorized service;

  • Another remedy selected by the manufacturer.

A defect does not automatically entitle the customer to return the entire trailer or receive a refund.

INTERSTATE 365 may assist customers with manufacturer warranty claims as a courtesy. However, the manufacturer controls warranty approval, coverage, repair procedures, authorized service, replacement parts, and claim decisions.

Customers should not authorize repairs or incur expenses for which reimbursement is expected without obtaining advance written approval from the responsible manufacturer or warranty administrator.

13. Refund Processing

After an authorized return is received, INTERSTATE 365 will inspect the product and notify the customer whether the return has been approved, partially approved, or rejected.

An approved refund will be calculated after deducting applicable:

  • Restocking fees;

  • Shipping and transportation costs;

  • Inspection and handling expenses;

  • Repair and reconditioning costs;

  • Missing equipment or documentation;

  • Damage or loss in resale value;

  • Outstanding balances;

  • Other authorized deductions.

Approved refunds will generally be issued to the original payment method within 7 to 10 business days after inspection and final approval.

Bank, lender, lessor, payment processor, or financial institution processing times may cause additional delays.

Where a lender or lessor funded the purchase, any refund may be issued directly to that lender or lessor as required by the financing documents.

Cash refunds are not provided for purchases made by financing, wire transfer, check, credit, trade allowance, or another non-cash payment method unless INTERSTATE 365 expressly agrees otherwise in writing.

14. Rejected Returns

If INTERSTATE 365 rejects a return, the customer must arrange and pay for transportation of the product from the INTERSTATE 365 facility within the period stated in the rejection notice.

Storage charges may apply if the customer does not collect the rejected return within the required period.

INTERSTATE 365 is not responsible for deterioration, damage, loss, additional storage, or transportation expenses caused by the customer’s failure to retrieve a rejected product promptly.

15. No Automatic Right of Return

A request for a return, refund, cancellation, exchange, repair, or replacement does not create an automatic right to that remedy.

A return is valid only when:

  1. The product qualifies under this Return Policy;

  2. INTERSTATE 365 issues prior written authorization;

  3. The customer follows all transportation and return instructions;

  4. The product passes inspection;

  5. The return complies with the applicable Sales Documents and Terms and Conditions of Sale.

An employee’s or salesperson’s attempt to assist a customer does not waive this Return Policy.

16. Relationship to the Terms and Conditions of Sale

This Return Policy forms part of the INTERSTATE 365 Terms and Conditions of Sale.

The applicable quote, purchase order, invoice, bill of sale, financing documents, warranty documents, and other signed Sales Documents may contain additional or more specific provisions.

If a signed Sales Document expressly conflicts with this Return Policy, the signed Sales Document controls for that transaction.

Deposits, cancellations, factory orders, custom orders, risk of loss, inspections, warranties, limitation of liability, and dispute procedures remain governed by the applicable Terms and Conditions of Sale.

17. Rights Required by Law

Nothing in this Return Policy excludes or limits a right or remedy that cannot legally be excluded or limited.

Where applicable law requires a different result, this Return Policy will apply only to the maximum extent permitted by law.
